Accessing Shared Mailboxes and Calendars

  • Accessing a Shared Mailbox
    1. In the Ribbon at the top of the Outlook window, click "File".Click File

    2. Click the "Account Settings" button, then the "Account Settings..." option in the menu that is displayed.Go to Account Settings

    3. Click "Change..."Click Change

    4. In the box that opens, click "More Settings..." near the lower right.Click More Settings

    5. In the next box, click on the "Advanced" tab at the top, then under the "Mailboxes" heading, click "Add..." Enter the mailbox name. If you aren't sure of the name of the mailbox, please contact us for assistance. Now you're almost done. Just click the following as you go back through the boxes you've opened: "OK", "OK", "Next", "Finish", and "Close". Now the shared mailbox will be listed under your personal mailbox in the panel on the left.Add Mailbox on Advanced tab

  • Accessing a Colleague's Calendar or a Shared Calendar
    1. Within your mailbox, click the calendar icon (it's possible this could be the word 'calendar' instead of a picture) near the lower left corner to go to your calendar.View your calendar

    2. In the Ribbon at the top of the Outlook window, on the Home tab, click "Open Calendar," then select "From Address Book..."Look up calendar

    3. Search for your colleague's name or the shared calendar name (you may need to change the list next to the search box from "School of Government" to "Global Address List" if you don't see what you're looking for), click it in the list to be sure it is highlighted, click "Calendar," then click "OK." Now you should see your colleague's calendar or the shared calendar.Look up colleague

    Note: If you cannot access the colleague's calendar or cannot see calendar entries, it is possible that the colleague has not set up default sharing permissions in such a way that the calendar or its entries are visible to others.

  1. In the program menu at the top of the screen, go to "Outlook", then "Preferences".Go to Outlook Preferences

  2. In the Preferences window, go to "Accounts".Go to Accounts

  3. If you have more than one account listed, select your SOG account, then click "Advanced..." in the lower right corner.Go to Advanced

  4. In the next window, click on the "Delegates" tab, then under the "People I am a delegate for:" heading, click the "+".Delegates

  5. Enter the mailbox name. If you aren't sure of the name of the mailbox, please contact us for assistance. Click "OK", then "OK", then return to your mailbox. The shared mailbox will be listed under your personal mailbox in the panel on the left.


  • Accessing a Colleague's Calendar or a Shared Calendar
    1. Within your mailbox, click the calendar tab near the lower left corner to go to your calendar.Go to Calendar

    2. On the home tab at the top of the Outlook window, click "Open Calendar" and enter the name of your colleague or the shared calendar you wish to add, then click the address book icon beside that to search. Select the calendar you are looking for, then click "OK" and "OK". Now you should see your colleague's calendar or the shared calendar.Look up calendar

    Note: If you cannot access the colleague's calendar or cannot see calendar entries, it is possible that the colleague has not set up default sharing permissions in such a way that the calendar or its entries are visible to others.

  • Accessing a Shared Mailbox or Calendar
    1. To open a shared mailbox (or calendar), click the person icon toward the top right corner, then select "Open another mailbox..."

    2. Begin typing the name of the mailbox (or calendar) you wish to open. Your mailbox may not show up in the search list; if not, please type the name anyway, then select "Search Directory" as indicated in the picture. Click your desired mailbox, then select "Open". If you aren't sure of the name of the mailbox, please contact us for assistance. Search for mailbox

    3. You are now in the shared mailbox. If you wish to view the shared calendar for the account, click the calendar icon near the lower left corner. View shared calendar

  • Accessing a Colleague's Calendar
    1. Within your mailbox, click the calendar icon near the lower left corner to go to your calendar.View your calendar

    2. At the top of your calendar, above the month heading, click "Add calendar" then select "From directory".To add colleague's calendar

    3. Begin typing your colleague's name. If it shows up in the list, click it. If it doesn't, you may need to finish typing the name, then click "Search directory", then click the name when it appears. Then select "Open".Look up calendar
